OpusCode ("we," "our," or "us") is an AI automation consulting firm. We build custom workflow automations for businesses using their existing tools and systems. This Privacy Policy explains how we collect, use, store, and protect information when you interact with our website (opuscode.ai), communicate with us, or engage us as a client.
By using our website or engaging our services, you agree to the practices described in this policy.
1. Information We Collect
We collect information in the following ways:
- Contact & inquiry data: When you book a consultation, fill out a form, or email us, we collect your name, email address, company name, phone number, and any details you share about your business or automation needs.
- Client onboarding data: As part of our process discovery and automation work, clients may share business process documentation, workflow descriptions, employee role information, and tool/system access credentials. This information is used solely to build and deliver your automation project.
- System access: To integrate automations into your existing tools (e.g., CRM, email, Slack, Microsoft 365, Google Workspace), we may require limited API access or credentials. These are never stored beyond the active engagement and are revoked upon project completion unless ongoing support is in place.
- Website analytics: We use Google Analytics to track page views, session duration, and general geographic location (country/region). This data is aggregated and does not identify individual users.
- Cookies: Our website uses functional cookies to improve your experience. No third-party advertising cookies are used.
2. How We Use Your Information
- To respond to your consultation request and scope your automation project
- To build, test, and deliver automation workflows specific to your business
- To communicate project updates, deliver documentation, and provide ongoing support
- To monitor and maintain automations under active support agreements
- To improve our website and marketing based on aggregated analytics
- To send service-related emails (we do not send unsolicited marketing emails)
3. Client Business Data
Any data we access as part of building your automation — including your business processes, employee workflows, CRM records, or internal documents — is treated as strictly confidential. We will:
- Never share your business data with third parties
- Never use your business data to train AI models or for any purpose outside your engagement
- Limit access to client data to only the OpusCode team members working on your project
- Delete or return all client data upon project completion, unless a support agreement is active
All client engagements are covered by a mutual Non-Disclosure Agreement (NDA) signed prior to any process discovery work.
4. Data Storage & Security
We take reasonable measures to protect the information we handle:
- All communication is conducted over encrypted channels (HTTPS, encrypted email where required)
- Credentials and API keys provided by clients are stored in encrypted credential managers and deleted upon project close
- We do not store sensitive client data on personal devices or unencrypted storage
- Our internal systems are protected by multi-factor authentication
5. Third-Party Tools & Integrations
OpusCode builds automations using tools your business already uses. We may interact with third-party platforms on your behalf, including but not limited to:
- Microsoft 365, Microsoft Teams, Outlook
- Google Workspace (Gmail, Sheets, Drive, Calendar)
- Slack, Notion, Airtable
- HubSpot, Salesforce, and other CRM platforms
- Industry-specific software (EHR systems, legal practice management tools, construction management platforms, etc.)
Each of these platforms has its own privacy policy governing how your data is handled within their systems. OpusCode is not responsible for the data practices of third-party platforms.
6. Data Retention
- Inquiry data: Retained for up to 2 years after last contact for business continuity purposes
- Client project data: Retained for the duration of the project plus 30 days, then deleted unless an active support agreement is in place
- Support agreement data: Retained for the duration of the agreement
- Analytics data: Retained per Google Analytics' standard retention settings (up to 14 months by default)
7. Your Rights
You have the right to:
- Request a copy of any personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal or contractual obligations)
- Opt out of any marketing communications at any time

8. Children's Privacy
Our services are intended for business owners and professionals. We do not knowingly collect data from individuals under the age of 18.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be noted at the top of this page with a revised "Last updated" date. Continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
